1. Purpose and Scope

This policy outlines the standards for managing and sharing professional contact information at Peturox. As a growing e-commerce brand, our goal is to maintain a unified, professional image while protecting the privacy and security of our team.

1.1. Applicability: This policy applies to all full-time employees, part-time staff, independent contractors, and business partners acting on behalf of Peturox.in.

2. Approved Communication Channels

To ensure security and brand consistency, only approved channels may be used for official Peturox business.

  • Official Email: All business correspondence must be conducted via @peturox.in email addresses. The use of personal Gmail/Yahoo accounts for business is strictly prohibited.

  • Business WhatsApp/Messaging: For vendor coordination (e.g., IndiaMART suppliers) or customer support, only company-authorized WhatsApp Business accounts should be used.

  • Phone Communications: Professional inquiries should ideally be directed to the official company support line. Personal mobile numbers should only be shared with internal team members unless otherwise authorized.

3. Data Privacy and Security

Peturox is committed to compliance with India’s Digital Personal Data Protection (DPDP) Act, 2023.

  • Encryption: Official contact data must not be stored on unencrypted personal devices.

  • Access Control: Access to the internal employee directory is restricted to authorized personnel only.

  • Confidentiality: Employees must not scrape, copy, or distribute the contact information of colleagues or customers for non-business purposes.

4. External Sharing Guidelines

Sharing Peturox contact details with third parties (clients, vendors, or the public) must follow these rules:

  • Public Listings: Only general alias emails (peturox.in@gmail.com) and the official business address in Basaveshwara Nagar should be listed on the public website or social media.

  • Vendor Interaction: When dealing with logistics partners (e.g., Shiprocket) or suppliers, employees should share their official Peturox email and business contact number only.

  • Public Speaking/Networking: Employees representing Peturox at events may share their official digital business cards or LinkedIn profiles linked to their Peturox identity.

5. Personal vs. Professional Boundaries

We value the work-life balance of our team.

  • Personal Information: Employees are never required to share their home address or personal social media handles with customers or vendors.

  • Company Devices: If a company-provided device or SIM is issued, it must be used exclusively for Peturox business to maintain a clear boundary between personal and professional data.

6. Directory and Listing Management

  • Internal Directory: All staff must keep their internal profile updated with their current designation and official extension/email.

  • Website Listings: Only authorized "Face of the Brand" profiles or the Grievance Officer's details will be listed on the public-facing Peturox.in website.

7. Response Time Expectations

To maintain our standard of customer care and operational efficiency, we expect the following professional response times:

8. Non-Compliance and Enforcement

Adherence to this policy is mandatory.

  • Minor Violations: (e.g., using personal email for a one-off business task) will result in a formal reminder and retraining.

  • Severe Violations: (e.g., unauthorized sharing of the customer database or internal contact lists) may lead to disciplinary action, including termination of contract and potential legal action under Indian data protection laws.

9. Policy Review and Updates

This policy will be reviewed annually or whenever there is a significant change in Indian e-commerce or data protection regulations. Updates will be communicated via the official Peturox internal newsletter.
